Reporting to the Head, Library Systems and Metadata Services, within the division of Budget, Acquisitions & Discovery (BAD), the Special Formats Cataloging Librarian works collaboratively to support timely discovery and access for a range of formats and materials, including audiovisual materials, special collections/rare books, and digital collections. Core duties include original and complex copy cataloging and authority control work in accordance with local and national cataloging and metadata standards.

Professional librarians hold faculty status. Faculty status allows both voice and vote in University faculty meetings, eligibility to serve on faculty committees, to serve as a student advisor, and to participate in the Program for Enhancing Teaching Effectiveness (PETE); and it acknowledges that those individuals play an active role in the intellectual activities of the University. Faculty status does not carry with it eligibility for tenure or sabbatical, nor does it automatically carry with it faculty rank (Professor, Associate, Assistant Professor, or Instructor), since faculty rank is in a specific academic department, nor does it carry eligibility for other benefits normally assigned to full-time teaching faculty.


Cataloging and Metadata Creation

  • Provides complex copy and original cataloging for print and multimedia materials in the University Libraries’ Alma integrated library system, creating metadata in accordance with nationally accepted standards and local practice
  • Creates and maintains local documentation related to the description and access of specialized and multimedia materials
  • Provides subject matter expertise on library and metadata standards; actively collaborates with fellow librarians and staff engaged in metadata creation both within the Library Systems and Metadata Services unit and across other University Libraries locations and departments.
  • Assists and advises on projects related to discovery and access of library materials.

Cataloging liaison to Rare Books/Special Collections

  • Provides complex copy and original cataloging for Rare Books and Special Collections, creating metadata according to nationally accepted standards, including the Descriptive Cataloging of Rare Materials and Books and the RBMS genre terms thesauri
  • Creates and maintains documentation on Rare Books and Special Collections cataloging, and the processing and preservation of Rare Books and Special Collections materials; collaborates with and trains RBSC staff on cataloging procedures

Digital Initiatives

  • Assists with planning and implementation of complex metadata creation workflows for digitization projects to ensure accurate and discoverable metadata
  • Creates XML-encoded metadata records, primarily in MODS and Dublin Core, but not excluding other schemata such as TEI, EAD, and PBCore; assists with design and construction of thesauri for controlled vocabularies and local name authority database creation related to individual digitization projects.

Database maintenance and quality control

  • Assists the Head of Library Systems and Metadata Services by creating and monitoring reports using Alma Analytics to support library catalog data integrity; keeps manual statistics outside Alma as needed.
  • Uses batch editing tools within Alma, as well as external software such as MarcEdit and OpenRefine to load, review and revise groups of catalog records, bringing them in line with local standards and practices, and ensuring greater discoverability in Primo.
  • Creates and maintains authority records for names, titles, series, and subjects in the Library’s catalog and in conjunction with cooperative cataloging projects, including NACO and OCLC
  • Helps resolve display and indexing issues with library discovery tools.

Administrative and professional duties

  • Participates in professional development and research activities
  • Attends meetings and participates in the academic and cultural activities of the University
  • Serves on library and University committees


  • Comprehensive knowledge of standard library cataloging tools, standards, and practices such as MARC21, RDA, AACR2, FRBR, FRAD, LCRI/LCPSs, LCSH, and LC classification schedules.
  • Understanding of and commitment to diversity, equity, and inclusiveness in interactions with coworkers and contacts and a commitment to reflecting those principles in descriptive work.
  • Thorough knowledge of practices, trends and opportunities in library cataloging and metadata management; experience and/or familiarity with descriptive cataloging of special formats including rare and visual materials preferred but not required
  • Thorough knowledge of the OCLC National online database and the OCLC Connexion Cataloging Client.
  • General knowledge of the Ex Libris Alma Library System or a similar integrated library system application
  • Familiarity with the Program for Cooperative Cataloging (PCC), NACO, and SACO preferred
  • General knowledge of XML data and metadata standards, such as Dublin Core, MODS, TEI, EAD METS, and PBCore
  • Strong organizational and time management skills; ability to prioritize and switch between multiple, concurrent projects and workflows
  • Evidence of strong analytical problem solving skills, attention to detail, and results-oriented approaches to complex problems
  • Demonstrated ability to communicate clearly, both orally and in writing, about complex, technical processes to non-technical personnel
  • Ability to work and learn independently and to initiate necessary work procedures according to guidelines set by the supervisor
  • Superior interpersonal skills and the ability to work in a collaborative team environment


  • A master’s degree in library or information science from a program accredited by the American Library Association
  • Minimum of 3 years of professional library cataloging/metadata experience


  • Full-time, exempt position
  • Monday – Friday, 8:30 a.m. - 5:00 p.m.; 7.75 hrs./day; 38.75 hrs./week

Position will remain open until filled, but priority will be given to those applications received before January 5th, when formal committee review will begin.
