Job Summary

We are looking for a Metadata Specialist I to catalog digital and print materials, including journal articles, conference proceedings, monographs, journal titles, theses, technical reports, and audiovisual files. Reporting to the Managing Editor of AATA Online, you will be an integral part of a team of staff, field editors, and volunteers who support, manage, and publish this abstracting and indexing database focused on the conservation and preservation of material culture.

About Us

The Getty Conservation Institute is dedicated to finding ways to improve the conservation of the world’s cultural heritage—its art objects, museum collections, historic buildings, and archaeological sites. We are located at the Getty Center in Los Angeles, and our work often takes our staff to heritage sites across the globe including locations in South America, Asia, and the Middle East, where we work in partnership with heritage professionals from the region. Our staff come from diverse disciplines including architecture, archaeology, conservation, information science, chemistry, engineering, operations management, administration, and communications.

This job will be based in our offices at the Getty Center in Los Angeles. It will begin in the office full-time and the opportunity to request a telework schedule may be available after an initial period of training and orientation and will be discussed and approved by your supervisor. Typically, staff with approved telework schedules at the Getty Conservation Institute are in the office more than half of the time.

Major Job Responsibilities

  • Apply professional judgment, standards, best practices, research, and analysis to create complex new metadata for AATA Online, which Getty makes available for free to professionals working in conservation and management of the world’s material cultural heritage—art and cultural objects, architecture, and archaeological sites and materials
  • Apply advanced knowledge to edit, aggregate, enhance, transform, and disseminate existing metadata
  • Test new processes and procedures
  • May contribute to documentation of policies and procedures
  • Maintain current knowledge in standards, best practices
  • Contribute to outreach activities with, for example, AATA Online's field editors who review abstracts in their field of expertise for technical language and relevance prior to publication
  • May apply knowledge of research, editing, abstracting, cataloging, and/or indexing to work assignments
  • Prepare name authority metadata using VIAF, LCSH, ORCID, and local authority file
  • May train, revise, and/or supervise the work of others
  • Scan print materials and reformat analog text to digital
  • Conduct minor copy editing of abstracts
  • Assist in the administration of contracts, from their development and data entry to processing and tracking invoices for payments
  • Liaise with colleagues in other departments to ensure accuracy of contract drafts and timely finalization
  • Provide day-to-day administrative assistance for the AATA Online team
  • Assist in the preparation of budget materials and track, monitor, and report on expenditures to help maintain AATA Online’s budget
  • Serve as the AATA Online representative in administrative meetings at the Getty Conservation Institute
  • May serve on other internal and/or external teams, working groups
  • Participation in professional development opportunities is encouraged and supported through on-the-job learning, specialized training courses, and participation in professional meetings and workshops

Qualifications

MLIS from an ALA-accredited library school; undergraduate and additional graduate degree in an appropriate discipline preferred; 0-2 years related professional experience, preferably in an academic, arts, or cultural institution.

Knowledge, Skills and Abilities

  • Ability to work in team-based and collaborative environments
  • Ability to meet deadlines, apply policies and procedures consistently, conduct research, and present recommendations
  • Advanced knowledge of established standards and best practices relevant to specific duties
  • Strong communication skills
  • Facility with systems required to perform work duties, including Ex Libris's Alma or other integrated library system, PeopleSoft, and Adobe Acrobat
  • Ability to compile statistics and compose reports using Microsoft Excel and/or Word
  • Knowledge of new developments in the profession, particularly in digital resource management
  • Detail oriented with strong organizational skills
  • Reading knowledge of a language other than English is valuable in this position
